Review the buyer name, vehicle year, make and model, requested part, VIN or application details supplied, buyer location, submission notes, and time received. Know which facts still need confirmation.
First-call outline
“Hi, [First Name], this is [Representative] with [Company]. I’m following up on your request for a [part] for your [vehicle]. I need to confirm a few details before I check availability. Is now a good time?”
If the buyer can talk, repeat the submitted vehicle details and explain that you need to verify a few items before checking availability or preparing the correct information. Do not imply that inventory or fitment has been confirmed until it has.

- Engine size, fuel type, turbo or non-turbo application.

- Delivery ZIP code.
For a transmission
- Year, make, model, and VIN.
- Automatic or manual.
- 2WD, 4WD, or AWD.
- Transmission code or tag when available.
- Engine application and delivery ZIP code.
Ask only the questions the application requires.
Quote follow-up
“Hi [Name], I’m following up on the quote for the [part] for your [vehicle]. I want to confirm you received it and see whether you have questions about the application, included items, delivery, warranty terms, or total.”
Only mention shipping, warranty, mileage, testing, or return terms that are accurate for the quoted unit and seller. End with a defined next step.
Attempt cadence and recordkeeping
A practical workflow may include a first attempt when the inquiry is reviewed, voicemail and an allowed written follow-up if unanswered, another attempt later, next-business-day follow-up, and a final check-in consistent with buyer preference and company policy.
